Job Overview

This position is responsible for providing high quality, professional, and timely executive assistance to the President of Mar Cor Purification and Vice President of Marketing. The Executive Administrative Assistant will be responsible for email, calendaring, global travel arrangements, expense reports, etc. The person in this position must be highly organized, flexible, ability to be proactive, strong follow through skills, show interested and ability to improve processes and apply new technologies.

Main Responsibilities

  • Manage calendar in Outlook including daily shifts due to incoming priorities, scheduling new meetings and travel plans
  • Coordinates travel plans, itineraries, and compiles documents for travel-related meetings
  • Manage scheduling of meeting series for weekly, bi-weekly, and monthly meetings
  • Ensure meeting materials or materials for review are printed from appropriate website, e-mails or calendar appointments and are provided in advance of meeting with appropriate time for review
  • Assist in preparation of word document, spreadsheets and presentations via MS Office
  • Takes and retrieves messages for various personnel upon request
  • Completes and submits expense reports
  • May attend meetings to record minutes
  • Maintains a high level of consistency through all work processes

Qualifications

  • High School Diploma or GED.  Associates or Bachelor's degree preferred
  • Minimum of five (5) years’ of Executive Administrative/Executive Secretary experience
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills that demonstrates a high level of professionalism
  • Solid interpersonal skills required; demonstrated ability to work effectively and congenially with employees at all levels
  • Ability to work independently on assigned tasks as well as accept direction on given assignment
  • Punctual and dependable
  • Intermediate level of proficiency with MS Word, Excel and PowerPoint required
  • Capable of handling difficult situations
