Job Overview

Responsible for working with our customers regarding order processing, product knowledge and sample requests.

Main Responsibilities

Customer Service:

  • Coordinate with sales representatives to assist in facilitating new orders
  • Answer telephone and/or email inquiries related to orders. 
  • Assist customers with product questions (product knowledge, specifications and pricing)
  • Take new customer orders/check backorders
  • Email/Fax invoices to customers when requested
  • Check shipment status and provide tracking #’s
  • Take sample requests
  • Give RMA #’s for the return items and write up credits

 

Order Entry:

  • Enter customer orders/credits in system
  • Attach bill of ladings/UPS label paperwork for shipments that have been shipped with their original orders.
  • Maintain ship log for all orders that ship.
  • Print invoices and statements.
  • Filing as needed
  • Obtain Freight Quotes

 

Export:

  • Coordinate order details with sales personnel and customers
  • Enter orders/quotes and provide proforma documents to customers
  • Work with freight companies to schedule containers
  • Create commercial invoices, shipper letter of instructions, dock receipts, SOLAS documents and other required export documentation, as required (ie.Tariff codes, etc)
  • Work with outside warehouses to stock product to support export customers
  • Prepare hazmat documentation, as required

Qualifications

  • Associates degree and/or 3-5 years of export experience
  • Bilingual – Spanish/English
  • Strong Computer Skills - working knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Self-starter, extremely organized and detail-oriented with strong commitment to accuracy.
  • Ability to adapt procedures, processes and techniques to the completion of assignments.
  • Sound judgment and excellent problem-solving skills.
  • Able to stay calm in stressful situations.
  • Responsive and reliable, with exceptional follow-through.
  • Ability to work both independently and as a team player
